To send trade item information via Validoo to your buyers, you need to choose a system to enter your information about the product.

There are a number of systems that are verified according to the current GS1 standard. You can find each one of them listed below. You can also learn how each system supplier describes their system and offer to you.

Select type of system

There are different types of systems for trade item information. Choose a system that best suits your business needs. Also check that the system you choose is customized and supports your product range.

Standalone web-based system

If you have few products and if your information does not need to be stored in your business system, a stand-alone web-based system is usually cost-efficient. There are a number of systems that are verified and updated according to current GS1 standard.

Integrated system

If you have a large product range, with 50 products or more, consider an integrated system.

If you have information that can be transferred from your business system, an integrated system is also preferred. The advantage of integrated systems is that you do not need manual registration of existing information in your CRM or other system. But be aware that all necessary information is not always available in other systems.

  • Using terms according to GS1 standard for trade item information.
  • Creating and managing trade item hierarchies.
  • Be able to update your trade item hierarchies.

Possibility to change system for trade item information registration if you are not satisfied with functionality, user interface, service level or price.

Ongoing adjustments

Business requirements are added to the global standard and maintenance releases are made approximately yearly. When a maintenance release is scheduled you are required to update your system so that it sends trade. Here is a description how you proceed in four steps.

1. Get started

Establish a contact with GS1 Sweden

Develop a contact with us. For a system to be approved it must be developed according to the existing specifications and standards. You will be provided with sufficient documentation and links to be able to develop a system.

Sign an agreement

To start a verification, an agreement must be signed with GS1 Sweden/Validoo.

2. Set up a communication

Your system must be identified with a GLN (GS1 Location Number). A GLN is your company’s electronic identity. For being able to send trade item information from your system it must be identified with a GLN. There should be different GLNs for the test and production environments.

Don’t you have GLN yet?

For a system to send digital information, it must be identified with a GLN (GS1 location number). GLN is created using a GS1 Company Prefix, a serial number and a control digit. You can order a company prefix here:

We have chosen the communications protocol AS2 as the approved protocol. The AS2 protocol is based on http. It has support for encryption and signatures to ensure that no data is lost and that all transactions are clearly traceable.

3. Register, test and verify

Become a sending system

When submitting files to the test environment you need to register your system to GS1 Sweden/Validoo. The system must be listed in Validoo as a sending system.

Test your system

When the system is developed and the secure communication is in place you can start testing your system. You can do it by sending trade item information to our test recipient Validoo PreProd Test Recipient with GLN 7300027777774. You will automatically receive a validation report showing if the trade item information was correct or what errors were found. To achieve a high level of usability we recommend that you prevent the possibility of making these errors. Follow the the technical specifications for trade item information.

Verify your system

When you consider the system ready, and all errors have been fixed, it is time to have the system verified.

Send files for verification (see the verification cases below) to the recipient Validoo PreProd Verification Recipient with GLN 7300027777781. GS1 Sweden chooses what verification cases that applies to you.

Once the verification for your system is completed and you have received approved validation reports, please inform your contact who will review the files.

  • Send a message to permanently withdraw a previously sent item hierarchy.
  • Send a message to withdraw a previously sent item hierarchy with the intention of subsequently updating the item hierarchy.

4. Become a sending system

When your system is approved it is set for sending trade item information to recipients via Validoo.

Gs1 Sweden publish details of all approved systems on our website, together with contact information, to provide suppliers with an overview of systems they can choose for sending trade item information.

Marketing text to describe your system

Write a short marketing text (450 characters) about your system, functions and limits. The marketing text will be published on once your system is verified.

Change systems

It is possible to switch from the system you are using today to another system. Just contact the verified system provider listed on the Select System Page.

Please keep in mind

  • Trade item information that you have published from your current system is already in Validoo Item, no transfer required.
  • Make sure that you have published everything in your current system so that you do not have drafts that you are working on locally.
  • Make sure you clean out any outdated trade information (for example, products that have expired) by marking them as expired and publishing them again.
