To send trade item information via Validoo to your buyers, you need a system to enter your product information.

There are a number of systems that are verified according to GS1 standards. You can find each one of them listed below and read about how each system supplier describes their offer to you.

Select type of system

There are different types of systems for trade item information. Select the system that suits your business needs the best. Also make sure the system you choose is customized and supports your product range.

Standalone web-based system

If you have few products and your information does not need to be stored in your business system, a stand-alone web-based system is usually cost-efficient. There are several web-based systems that are verified and updated according to GS1 standards.

Integrated system

If you have a large product range, with 50 products or more, you should consider an integrated system.

The same applies if you have information that can be transferred from your business system. The advantage of integrated systems is that you do not need manual registration of information that already exists in a business system at your company. Note that all necessary information is not always available in other systems so the information you already have may need to be supplemented in order for your product information to be filled in according to GS1 standards.

Different options in choosing an integrated system

Part of your business system

Your business system may have a built-in function for entering information according to GS1 standards. Some business systems have both internal and external custom modules. Ask your business system provider for tips. An alternative within integrated systems can be so-called PIM solutions / PIM systems (Product Information Management).

A complement to your business system

If your business system lacks a built-in feature to fill in information according to GS1 standards, you can develop your own system with one of our connections. Once your system is fully developed and tested, it needs to be verified by GS1 Sweden to ensure that it complies with GS1 standards.

Verification is briefly about your system being able to:

  • Use attributes according to GS1 standards for trade item information.
  • Create and manage trade item hierarchies.
  • Update your trade item hierarchies.

It is possible to change system for trade item information registration if you are not satisfied with functionality, user interface, service level or price.

Develop your system so that your customers can enter and share data via Validoo

If you are a system developer and offer system solutions to other companies but do not send information yourself, you can integrate your system with Validoo. First you need to adapt the system to GS1 standards and then get it verified by GS1 Sweden.

In order for the system to be verified, it needs to be developed according to GS1’s specifications and standards. All specifications can be found on under documentation. You also need to follow Validoo Operations Manual which describes how to interact with Validoo when setting up system-to-system communication.

Ongoing adjustments

Business requirements are added to GS1’s global standard and maintenance releases are usually made annually. At each maintenance release, you are expected to adjust your system in order to be able to send product information correctly. Here is a description of how to proceed with integrating your system with Validoo in four steps.

1. Get started

To be able to connect your system to Validoo, you need to sign a system verification agreement and Global Location Number (GLN) .

In order for your customer to be able to send product information via your system, they need to sign a Validoo Supplier Agreement and  GLN.

2. Set up a communication

In order for a system to be able to send digital information, it must be identified with a GLN. A GLN is your company’s electronic identity. You must designate different GLNs in the test and in the production environment.

We have chosen the communication protocol AS2 as the approved protocol. AS2 is an http-based protocol. It supports encryption and signing to ensure that no information is lost and that there is clear traceability in all transactions.

Report, adapt, test and verify

Register and adapt your system

When submitting files to the test environment you need to register your system to GS1 Sweden in order for it to be listed in Validoo as a sending system. We will help you with this when you report that you want to develop your own system. You will get help with this when you announce that you want to develop your own system.

Test your system

When the system is developed and secure communication is set up, you can try sending product information to our test recipient Validoo PreProd Test Recipient with GLN 7300027777774. You will automatically receive a validation report back on whether the product information is correct or what the errors are. To achieve high usability, we recommend that you eliminate the possibility for users to make these errors. Follow the manual and the technical specifications for Trade Item Information.

Verify your system

When you consider the system fully developed and you have tested internally and corrected any errors, it is time to verify the system in our external test environment so that it can be approved as a sending system.

Submit verification files (see verification cases below) to the Validoo PreProd Verification Recipient with GLN 7300027777781. Validoo decides which verification cases to carry out, in dialogue with you.

When the verification of your system is complete, and you have received approved validation reports, you should notify your contact person who will then review the files.

Withdrawal of Article Hierarchy (Withdrawal)

  • Submit a message to permanently withdraw a previously submitted article hierarchy
  • Submit message to withdraw a submitted article hierarchy for the purpose of updating the article hierarchy accordingly

8. Additional attributes

  • At the request of GS1 Sweden, add additional and undefined fields from the Swedish subset in the user interface and send to the data pool without error message in the schedule. Talk to your contact person.

9. Validation error

  • Receive, manage and display predefined error messages linked to validation rule. These are sent from the data pool (GS1 Sweden) to the user (system owner). Talk to your contact person.

4. Start sending data

Once your system has been verified, it is ready to start sending item information via Validoo.

GS1 Sweden publishes information and a marketing text (optional) about all approved commercial systems on, including contact information, to draw suppliers’ attention to which systems they can choose from.

Write a text of a maximum of 450 characters about the system’s functions and any limitations, perhaps your system has adaptations for a certain product segment. In connection with your system being verified, it is published in the list of verified systems on

Change systems

It is possible to switch from the system you are using today to another system. Just contact the verified system provider listed on the Select System Page.

Please keep in mind

  • Trade item information that you have published from your current system is already in Validoo Item, no transfer required.
  • Make sure that you have published everything in your current system so that you do not have drafts that you are working on locally.
  • Make sure you clean out any outdated trade information (for example, products that have expired) by marking them as expired and publishing them again.
