Description of service Validoo Item

This service description describes the regulations and standards that Validoo Item is based on, what is required of customers of the service, and how the service is used.

 Prerequisites for using Validoo Item

For suppliers

  1. You identify your company with a GLN and your items with GTINs. You can get GLNs (Global Location Number) and GTINs (Global Trade Item Number) using a GS1 Company Prefix that your company subscribes to from GS1 Sweden or another GS1 organization.
  2. Your company must sign an agreement for Validoo Item.
  3. Your company must comply with the terms and conditions and pay the fees in accordance with applicable agreements for Validoo Item.
  4. Your company must have a system for sending trade item information. The system must be verified by GS1 Sweden.
  5. The system that your company uses to send trade item information must communicate with Validoo Item using a secure communications protocol.
  6. The trade item information that your company sends via Validoo Item must follow GS1’s current standards for Trade Item Information.

For retailers

  1. You identify your company with a GLN. You can get GLNs (Global Location Number) and GTINs (Global Trade Item Number) using a GS1 Company Prefix that your company subscribes to from GS1 Sweden or another GS1 organization.
  2. Your company must have a system in place for receiving trade item information. The system that your company uses to receive trade item information must communicate with Validoo Item using a secure communications protocol.
  3. Your company must sign an agreement for Validoo Item.
  4. Your company must comply with the terms and conditions and pay the fees in accordance with applicable agreements for Validoo Item.
  5. A company that will receive trade item information must actively create subscriptions in Validoo Item. These subscriptions are made either for a supplier’s entire product range or for parts of a supplier’s product range. If the recipient has not created subscriptions, Validoo Item will not send the trade item information onward even though the supplier has sent the trade item information to that specific recipient.

How Validoo Item works

  1. Validoo Item validates that all trade item information that the supplier sends to retailers via Validoo Item follows current and applicable Swedish and international validation rules.The validation rules are updated two or three times per year prior to a decision from the Validoo Item user group.
  2. Validoo Item also validates that the trade item information follows recipient-specific validation rules if the recipient/retailer has opted to activate such a rule. Recipient-specific rules may include limit values for maximum pallet height, maximum weight for an item, etc.
  3. Validoo Item stores the latest version of submitted trade item information.
  4. Validoo Item forwards the trade item information that has been approved in the validation to the recipients who have created a subscription.

What awaits you as a Validoo Item customer

For suppliers

  1. Validoo Item sends validation reports back to the system that your company uses to send trade item information.
  2. Validoo Item also forwards the feedback message from the retailer back to your system.
  3. You can also choose to receive a copy of the validation report by e-mail.
  4. Your company has the possibility of sending trade item information to retailers in other countries that are connected to other data pools within GDSN (a global network for the synchronization of trade item information).
  5. Users logged in to MyValidoo and Validoo Item can do the following:
  • Manage users.
  • Manage e-mail copies of validation reports.

For retailers

  1. Your company has the possibility of receiving trade item information from suppliers in other countries that are connected to other data pools within GDSN (a global network for the synchronization of trade item information).
  2. Users logged in to MyValidoo and Validoo Item can do the following:
  • Manage users.
  • See recipient trade item information, from whom it was sent and when it was sent.
  • See history of received trade item information, from whom it was sent and when it was sent.
  • Compile statistical reports.
  • Manage recipient-specific validation rules.
  • Manage subscriptions.
  • Retrieve copies of already received trade item information.
  • Print out received trade item information.

For suppliers and retailers

  1. Validoo Item follows the standard for Trade Item Information developed by GDSN. Validoo Item is committed according to an agreement to upgrade to the new version when GDSN announces an update of the standard. Validoo Item announces version updates approximately six months before the version update.
  2. New or changed functionality in Validoo Item is developed and launched upon demand. The changes are planned and prioritized based on complexity, demand and customer value, and there are no fixed launch dates.
  3. Validoo Item is normally in service 24 hours a day, seven days a week. However, the service is not monitored at certain times and interruptions can occur at these times. Interruptions can also occur at other times due to planned shutdowns for maintenance and similar measures such as restricted, unplanned shutdowns.
  4. You have access to support Monday through Friday during office hours.
